Using Citation Management Software with Vendor Databases

This document refers to CDL's A&I Databases Transition project (2000-2002) only.

Background

Introduction: Many users have come to depend on citation management software for its convenience and timesaving abilities. The software worked well with the CDL-hosted databases. One of the goals of the journal article database transition was to extend this capability to even more databases. We understand that this kind of change is hard, especially when something is lost; sometimes it gets a little worse while we retool to make it better in the long run.

The UC libraries and CDL made the following efforts to address citation management needs for the transition:

  1. Online survey in 2000 ("The Melvyl Catalog Future: Desirable Functions and Services" Staff Survey, spring, 2000): identified the popularity of the downloading capability in CDL-hosted databases.
  2. New database vendors: provision of download formats was a priority and the CDL discussed this issue in all meetings and communications with them if the feature was not in place. Almost all new vendors provide this option; others have plans to provide in the coming year.
  3. Citation management software:
    1. Campus librarians and CDL checked to be sure that ISI ResearchSoft, the producer of EndNote, ProCite and Reference Manager, the most popular citation management tools, supported at least one of the three methods for capturing citations (filters, connect files, or direct export) for each database/vendor combination. We did not have a way to know which of the three methods users used most heavily, however.
    2. CDL also pursued getting a systemwide site license for the software but could not obtain favorable pricing. Because the CDL does not have a site license to these products, we are not considered a customer. We do, however, communicate frequently with the company and have found them reasonably responsive to requests.

*EndNote for Windows & Macintosh supports a direct connection but the database vendor requires an account and password in addition to a valid UC IP address for access authentication. See "Known Problems" section below.

**Some copies of EndNote 6 did not ship with Ovid connection files; check the EndNote Connection Files web page (http://www.endnote.com/support/enconnections.asp ) for new connection files.

***In databases with multiple publication types (more than journal article, e.g., book chapters, dissertations, manuals, etc.), such as BIOSIS, Current Contents, etc., you must use Ovid's Complete Reference Fields display [Citation Manager] in conjunction with your citation management software. Additionally, you must have the most current database filter; see EndNote's Import Filters web page (http://www.endnote.com/support/enfilters.asp ), ProCite's Database Services web page (http://www.procite.com/support/pcconfig.asp ) or Reference Manager's Import Filters web page (http://www.refman.com/support/rmfilters.asp).

[Caution]

Note: In several cases, the new vendor interfaces do not work well with Z39.50. Consequently, using the bibliographic software's "connect" search feature is not recommended when comprehensive search results are desired.

Additionally, UC-affiliated users who "connect" to databases will miss many features only available via the database interface, such as links to the full text of articles (UC licensed), links to UC's Request service (native interlibrary loan) [both available via UC-eLinks] or to vendor database features such as AutoAlerts (SDI).

If you need further assistance with your citation management software, contact your campus library. Many of the UC campuses have information and assistance available to their faculty, staff, and students who use EndNote or other citation management software. Examples are below. If you do not see your campus listed, check at the campus library as most campuses do offer classes on using citation management software and often have resident "experts" who can assist you with your needs.
