Shared Print

The University of California Libraries' Shared Print collections consist of information resources jointly purchased or electively contributed by the libraries. Such resources are collectively governed and managed by the University Librarians for the purpose of maximizing access to the widest audience of current and future members of the UC community.

Strategic Direction

"The overall aim of [shared print collections] is to further optimize the management of information resources for students and faculty by reducing unnecessary duplication, leveraging shared assets (such as regional library facilities), and expanding the information resources available systemwide, while meeting the information needs of library users at each campus." Systemwide Strategic Directions for Libraries and Scholarly Information at the University of California. University of California University Librarians. April 2004 Section 4.1, p.12. [PDF]

Goals, Objectives, Annual Reports

The overarching goals for Shared Print collections are:

  • To facilitate the development of more comprehensive and diverse research colllections available to UC library users thoughout the system through efficient collaborative methods for the prospective acquisition of research resources.
  • To offer incremental economies to the campuses over time through space savings and other cost avoidances.
  • To begin to create long-term opportunities for the re-allocation of library space to meet existing demands of current and retrospective collections and support new, transformative uses.
  • To preserve the scholarly printed record, where print remains the archival medium of choice, at the lowest possible unit cost.

Goals are periodically established and reviewed to achieve these objectives, and annual reports are provided to document progress:

Policies and Reports

Shared Print activities are informed and guided by policies and principles that are developed by all-campus groups and endorsed by the University Librarians:

Collection Development Models

Models for developing Shared Print Collections are described in detail in the planning framework "Developing a Planning Framework for UC Libraries Shared Print Collections" by Nancy Kushigian. Version 1.8. April 14, 2005 [DOC]

  • Prospective and retrospective printed serials which are also available online
  • Retrospective serial publications that are not also available in digital format
  • Prospective specialized monographic collections
  • Ongoing cooperative collection development agreements that support collection distinctiveness

Variations on these models are possible.

Collection Development Process

Planning and decision-making for Shared Print collections is collaborative. Proposals for shared print collections are prepared by UC librarians and guided by the current Goals and Objectives for Shared Print Collections.

The Shared Print Manager develops frameworks, models and plans for shared print activities and resources within the UCs and with extramural partners. The Shared Print Manager also assists with proposal development, reviews proposals and presents them to the Collection Development Committee (CDC). CDC reviews and approves proposals.

Toolkit for Shared Print Agreements

A toolkit for Shared Print agreements will be developed to facilitate the proposal submission process, formalize agreements, and establish a common set of practices and expectations for each collection development model.
