General news:

We have received our authorization numbers from OCLC to catalog the IEEE Xplore as a World Cat Collection Set and will begin that process in mid January. OCLC has actually completed at least a third of the set for us based on ISBN and publisher number information which we supplied them in November. Due to the holidays and an extended absence of one of our staff members, we have had to slow down on work on the ABI/COMP/MAGS A&I titles. Thus they won't be ready in January as planned.

We are still waiting for CDL to finish testing the monograph profile. When this is finished we will send the ACM Digital Library conference proceedings to CDL.

We anticipate sending consolidated SCP files to UCSC and UCSF in late January.

General news:

SCP catalogers completed processing for the Royal Society of Chemistry journals (29 titles). We are continuing to work on the second pass through the individual journal titles with full-text in the ABI/COMP/MAGS A&I databases. These should be ready to send to CDL in January.

Monographs are still on hold, as CDL is still testing the monograph profile. OCLC is also on hold, as they had to do preparation of macros before they were ready to start receiving IEEE Xplore conference proceedings.

October proved to be a month "on hold." We expect to be able to send monographic records to CDL for the ACM conference proceedings in December, assuming all goes well with the test file currently at CDL. The CogNet authentication problem for their netLibrary books remains unresolved, so we can't send those records to CDL.

OCLC has accepted our application to catalog the IEEE conference proceedings, IEE colloquia, and IEEE standards in the IEEE Xplore database as a OCLC WorldCat Collection set. As I reported last month, we will be doing this using the single record convention. There is the distinct possibility, however, that OCLC will be able to create another set from these records based on the new LCRI 1.11A (i.e., separate records for the electronic version with a note to indicate they are electronic reproductions). If OCLC can do this, it will make it possible for campuses to have a choice as to the type of record that they put in their local catalogs for this database.

In the past, there had been a UC wide cooperative project to add information to the bibliographic records for the individual journal titles to the A&I databases, MAGS, ABI Inform, and COMP to the effect that the journal had "Selected article text online" in those particular article databases. SCP catalogers have now added URLs to those same journal titles using the document: http://www.cdlib.org/libstaff/comm/melvyl/ASCIIfulltxt.rtf "California Digital Library List of journals with full text Date 01/19/00."

NOTE: The links in these journals in the PE database don't work at present because of a plus sign problem in the URL display. CDL has been notified.

We have recently sent an inquiry to the Policy Steering Committee asking about (1) the best method of record distribution for those libraries that are interested in these records and (2) whether to include URLs for the A&I databases for those journals that have full-text from other sources.

As you can see at the current 3942 titles, we have come a long way from the initial load of 2900 titles in May! We have completed all journal packages for the time being. At the moment CDL is reviewing a test file of mixed monograph and serial SCP records. As soon as we get the OK, we will be sending a file of 700 ACM conference proceedings. We will send them as two separate files, because we realize that other campuses may need to keep their serial import load tables separate from their monographic load tables.

Also on hold are records for the 250 MIT CogNet NetLibrary cognitive science books. There is an authentication problem that needs to be resolved for the UC campuses which have more than one access route for NetLibrary books. We are actively working with programmers at both NetLibrary and MIT to solve this problem.

We are planning to catalog the IEEE Xplore database, using the single record concept, as an OCLC WorldCat Collection Set. This will have no effect on the record distribution for this database for the other UC campuses. Plans are to catalog the IEEE Conference proceedings first, followed by the IEE Colloquia, and then the IEEE standards.

General news:

There are a number of packages in the cataloging hopper. Completed are the ACM Conference proceedings (662 records!). Most of these are monographs, so we will have to wait to send them as SCP files until after an SCP monographic load table is in place. Almost completed are the GenderWatch records. When done there will be about 135 journals in this package. Our big push this month is getting records ready for the Economist Intelligence Unit (EIU) Country reports and Country profiles. Planning is underway for the cataloging of the IEEE Xplore Conference proceedings. (Cataloging these will take the rest of our lives!)

We have posted on the electronic mailing lists a job description for the Head of the Digital Information and Serials Cataloging Section. Consideration of applications will begin on October 15th.

New this month are the National Research Council of Canada journals. Also being worked on is the publisher package of GenderWatch journals. Scheduled for completion at the end of August are monographic (and a few serial) records for the ACM conference proceedings. Due to an extension of the Wiley license agreement to include all available Wiley journals, an additional 85 (approximately) journals are now accessible electronically to the UCs and are currently being cataloged.

General news:

The PURLs (PIDs) for SCP records are completely done. Unfortunately two of the files (those for IEEE Xplore and ScienceDirect) have never shown up in the PE database. Therefore SCP catalogers are resending these files on August 7th. All other SCP PIDs are showing up in the MARC display in the PE database and should be available to the campuses.

General news:

June 2000 was a good month! The Ethnic Newswatch journals were finished this month, so we have completed cataloging of all the online journals in the publisher packages for which CDL has licensed access. The updating procedure of adding new, changed, and deleted information in the 599 MARC field is going smoothly. We have also completed the substitution of PIDs (Persistent Identifiers) for URLs in all the CDL electronic journals.

We are currently cataloging the ACM conference proceedings. These are mainly monographs so they will not be sent to CDL until policies and procedures are determined by HOTS and the SCP Steering Committee.

New this month are the ACS (American Chemical Society) journals consisting of the parent journals plus records for their Supplementary/Supporting information. Still on the docket are the Ethnic Newswatch journals.

General news:

We have hired Renee Chin to fill the LAIII position in the unit. She began work on Monday, June 5th. Her job will consist of systemically mining the publisher home pages to determine new and changed journals in addition to doing PURL maintenance.

The SCP catalogers are currently adding PURLs (PIDs) to the CDL records. First we added PIDs to our current URLs in batch mode and now the PIDS are replacing the URLs in the bibliographic records. We have completed transfers on the Company of biologists, IEEE Xplore, Institute of Physics, Project Muse, Science, and Wiley records. In process are the Kluwer records. We are hoping to complete all transfers by the end of June.

The Bibliographic list above contains the exact forms of headings which are used as hooks to identify the individual publisher packages. They are input into the bib record for each publisher's individual journal titles. These headings can be used by ILL personnel by calling up individual journal titles. When the title is retrieved, look down through the record for the corporate author heading for the package as shown.

On April 13th the initial file of 2900 MARC records for electronic journals was FTPd from UCSD to CDL. The records appeared in the California Periodicals Database on April 28th, and became available on the CDL server for the campuses to retrieve on May 5th.

American Chemical Society Web editions are scheduled to be finished the second week of May.

Since the initial load of records was sent, UCSD catalogers have been sending updated records to CDL with an "instructional" note field (MARC 599) added to explain the reason the record was resent. For instance, new records are coded NEW; updated records are coded UPD (with the actual change delineated by tag number in the "b" subfield of the 599 field); and records to be deleted are coded DEL. Each 599 field ends with a "c" subfield with the date of change in it.

General news:

Interviewing for three candidates for the Library Assistant III position is scheduled for the second week of May. We hope to have a person on board by the early part of June. At the end of April, we began learning how to input PURLs. As of May 8th, the CDL PURL server became active. The PURLs will have the form: http://cdlibs.org/PID/12345. As you can see they will have very little semantic content. We are now actively developing workflow scenarios. We know everyone wants to know when we will have the PURLs added! More on this in the May report.

On Thursday, April 6th, the Catalog Dept will output the initial file of MARC records to CDL. After this date, all additions, changes, and deletions will be reflected in a 599 field in the bibliographic record. Updates will be sent weekly.

A job description for a library assistant position (Electronic Resources Cataloger and Maintenance Specialist) has been drafted. Since it is a brand new position, the description needs to be vetted both by the Catalog Dept Section Heads and the Library Human Resources Dept. It should be posted ASAP after this, probably at the end of March, if not sooner.
